When the pipeline stops explaining the business

An opportunity report can look complete while salespeople work from separate spreadsheets. Leads arrive without an owner, stages mean different things to different managers, and a won deal reaches delivery without the scope needed to start work. A Sales Cloud programme should resolve those operating problems before adding more fields or automation.

Emerge designs the account, contact, lead and opportunity model around the way the organisation sells. We identify the evidence required to qualify a prospect, the events that change ownership and the commercial information that must survive a handover. Salesforce currently markets its sales portfolio as Agentforce Sales, formerly Sales Cloud. We preserve the distinction between a sound sales implementation and optional agent capabilities, with actual editions and entitlements confirmed during discovery.

Build the lifecycle before configuring screens

The first deliverable is a lifecycle map with named business owners. An inbound enquiry, an existing customer expansion and a partner-introduced opportunity may need different routes. We define whether each should enter as a lead, attach to an account or become an opportunity only after a qualification decision. Duplicate rules and matching behaviour are tested with realistic organisations and contacts, including shared domains and subsidiaries.

Opportunity stages need entry and exit criteria that salespeople can explain. A proposal being sent is an activity; a buyer accepting its scope is a different signal. We translate those distinctions into the necessary fields, guidance and validation, keeping required information proportional to the stage. Forecast reporting then reflects an agreed interpretation of the pipeline rather than a collection of personal probabilities.

A website or partner interface submits an enquiry with a source identifier and permitted attribution. Salesforce validates the payload, applies matching and assignment rules, and gives the responsible team an actionable record. If the receiving owner is unavailable or the data is incomplete, the exception has a visible queue instead of disappearing into a generic mailbox.

Qualification captures the business problem, decision process, timing and next action. When a salesperson creates an opportunity, relevant history follows it without turning every browsing event into a sales task. Quote preparation connects to the agreed product and pricing process. A closed-won event starts delivery or order processing only after the receiving system acknowledges the required commercial record.

This architecture can connect to an existing ERP, quoting tool or document-signing service. The contract specifies which system owns price, tax, customer credit status and signed documents. A successful API response is checked against the destination’s accepted business state, particularly where an order is processed asynchronously.

Decisions that prevent an expensive rework

Account structure deserves early attention. A group company, purchasing entity, service location and individual buyer are not interchangeable. We model the relationships needed for reporting and access, then test how mergers, employee moves and shared buying committees affect them.

Automation should remove repeated administration without concealing responsibility. Lead reassignment, stage changes and reminder creation need predictable rules and a clear override. Introducing an assistant does not justify silently changing commercial commitments or inventing qualification answers. Where agent support is useful, its permitted actions and review boundaries are specified separately.

Migration is also a business decision. We distinguish active pipeline from historical reference material, map legacy stages deliberately and retain identifiers needed for reconciliation. Importing every obsolete field can reproduce the old process inside the new interface. Deleting history indiscriminately can damage forecasting and customer context. The migration plan makes those choices reviewable.

Release with the sales team

Acceptance uses representative sellers, managers and operational recipients. We follow a new enquiry, an existing-account opportunity, a duplicate contact, a reassigned lead and a lost deal through their complete paths. Reports must reconcile to agreed test records, and permissions must work for normal users rather than only administrators.

The first release includes assignment checks, opportunity-stage guidance, agreed management views and the downstream handover. We pilot with a defined team, review where work still leaves Salesforce and correct the underlying friction. Adoption is assessed through completed operating steps and record usefulness, not login counts alone.

Keep the pipeline credible after launch

The handover assigns owners for stage definitions, matching rules, integrations and reporting. It includes a process for reviewing stale opportunities, failed assignments and changes to the commercial model. New products or markets can change qualification requirements, so the sales process is reviewed as an operating asset.

A useful starting engagement is one sales motion with an unreliable handover. Bring a sample of recent enquiries, opportunities and accepted deals.
