Shopify GraphQL Admin API and webhooks

Shopify integrations for ERP, fulfilment and customer systems

Connect Shopify product, inventory, order and customer events with authenticated interfaces, reconciliation and clear exception ownership.

Commerce teams whose back-office handovers depend on fragile apps or manual reconciliation.

Intended outcomes

What this work should change.

  • Consistent record ownership across storefront and operations
  • Recoverable order and inventory handovers with visible exceptions

Connect the transaction to the business behind it

A store can accept an order while the warehouse, ERP and customer-service team each see a different state. Product updates may be copied manually, stock may lag and marketing may contact a customer using incomplete information. Emerge designs Shopify integrations around the handovers that make commerce work after the storefront interaction.

The engagement can replace a fragile connection, extend an existing integration layer or establish a coherent interface model for a new store. We start with the records and events that matter, then select supported Shopify APIs and appropriate middleware. Adding an app is one possible implementation choice, not the definition of a completed integration.

Assign authority before mapping fields

For each object, we identify the system that owns its meaning and its permitted updates. An ERP may own commercial product identifiers, a warehouse may own available stock and Shopify may own the online merchandising presentation. Customer communication preferences may have a separate authoritative process that must be respected by every connected tool.

Field mappings include units, currencies, time zones and identifier relationships. We document how a missing value differs from an instruction to remove an existing value. These details prevent a technically valid update from creating incorrect commercial information or erasing a field another team owns.

Use supported APIs with bounded permissions

Shopify’s GraphQL Admin API provides the administrative integration surface for new implementations. We select the resources and operations needed by the workflow, assign appropriate application scopes and plan for API version changes. Query and processing limits are considered in the workload design rather than discovered during a large catalogue update.

Incoming webhooks are authenticated and accepted through a controlled endpoint. The handler records the event and acknowledges receipt according to the interface contract, while processing can continue asynchronously. A notification can trigger retrieval of the current source record when that is more reliable than assuming the payload represents the latest state.

Protect orders from duplicate or incomplete processing

An order handover carries stable source and destination identifiers. The integration records whether the destination received, validated and accepted the order, because these are different stages of business completion. Customer-service visibility follows the same states so staff can explain a delay without guessing which system is correct.

Duplicate protection and retry rules are explicit. A timeout after a successful write should not automatically create another order. The integration checks the destination result or an idempotency record before replaying the action. Rejected records enter an exception queue with a reason, an owner and the information needed to correct them.

Keep inventory and fulfilment meaning consistent

Inventory integration requires an agreed definition of availability. Physical stock, reserved stock and available-to-promise quantity can differ. We establish which value the storefront uses, its refresh behaviour and how a product should appear when the upstream answer is unavailable.

Fulfilment updates may be partial, delayed or corrected. The mapping includes shipment identifiers, quantities and relevant customer communication states. Cancellation and refund flows are treated as first-class journeys, with clear ownership of the commercial decision and the technical update. The design avoids assuming that every downstream status should immediately trigger a customer message.

Connect lifecycle data without uncontrolled duplication

CRM and marketing integrations receive only the information needed for their purpose. Identity matching distinguishes a customer profile from a browsing event or an order contact. Consent and suppression changes are handled through the agreed authoritative process and are tested across the connected systems.

We also define what happens when an integration is disconnected or an application is replaced. Exportability, credential ownership and historical event access are part of the operating design. This reduces the chance that an essential business process becomes dependent on an undocumented app configuration.

Acceptance and operating handover

Acceptance follows representative product, inventory, order and customer changes from source to destination. Tests cover duplicates, stale updates, missing references, throttling and interruption after a write. Reconciliation compares the expected source population with accepted destination records and surfaces exceptions that individual API responses cannot explain.

Emerge supplies the object ownership map, field contracts, API scopes, replay procedures and monitoring responsibilities. Operators can trace a failed item by its business identifier, correct the cause and confirm the repaired outcome. Future changes are tested against retained examples, keeping the connection dependable as the catalogue, store configuration and enterprise systems evolve.
