The work begins with opening hours, ownership and fallback behaviour, then connects the customer information teams need without handing every user unrestricted access to calls or records.
Our scope includes business telephony configuration, live chat integration, CRM-aware handovers and assessment of bounded voice-AI workflows. These are different delivery paths with different dependencies. We verify the installed 3CX version, edition, hosting arrangement and supported integration method before committing to a feature. A current vendor announcement is a starting point for evaluation, not automatic permission to deploy preview functionality into a production telephone system.

The starting point
What needs to change.
Customers encounter dead ends when office hours, queues and overflow destinations reflect an old organisation chart. We map the intended caller experience at each transition, including what happens when nobody answers, the selected team is unavailable or the caller changes their mind.
Phone numbers alone can be ambiguous identifiers: households share numbers, employees call from switchboards and existing CRM records may be duplicated. A screen pop should present useful candidate context without treating a weak match as verified identity.
Calls generate operational events that do not always arrive in the order expected. A missed-call task, callback or disposition update needs clear ownership and reconciliation so the CRM does not become a second, conflicting account of what happened.

Where the selected release and licence support the required interface, we assess AI for a specific task such as intent collection or approved information retrieval. Sensitive decisions and unsupported requests route to people, with a tested fallback when the AI dependency is unavailable.

The PBX handles the supported telephony operation; the CRM owns the agreed customer and commercial fields. An integration passes bounded context and call events between them, using correlation and reconciliation to avoid repeated tasks or incorrect associations.
Map the complete audio journey
A hosted application does not necessarily mean speech processing stays in the same location. We document each processor, connection and retention requirement in the proposed voice architecture, then select the deployment path that meets the organisation’s approved data boundaries.

API, recording, transcription and AI capabilities are version- and entitlement-dependent. We validate the exact proposed feature against current vendor documentation and the deployed environment, and keep preview evaluation separate from a production release commitment.

The assessment records the current PBX version, edition, trunks, endpoints and call-routing configuration without changing live service. We gather representative caller intents and agree which existing numbers, issued links and contact routes must remain available.

Configuration is validated with controlled test calls and test CRM records during an approved window. Checks cover answered and unanswered calls, transfers, office-hours changes, unavailable integrations and recovery from a failed identity lookup. Browser chat is tested for keyboard use, mobile layout and delayed SDK loading.

Handover includes the routing map, role assignments, integration field mapping and incident playbook. Operational reporting distinguishes attempted contact, connected conversations and completed follow-up, with a review cadence for abandoned calls, stale tasks and recurring routing failures.
